§1. General Principles

1. Definitions.
a. Asseco Poland – Asseco Poland S.A. with its registered office in Rzeszów, ul. Olchowa 14, 35-322 Rzeszów, tel.: +48 17 888 55 55, fax: +48 17 888 55 50, www.asseco.pl, email: info@asseco.pl, NIP: 522-000-37-82, REGON: 010334578, District Court in Rzeszów, 12th Commercial Division of the National Court Register, KRS: 0000033391. The share capital of PLN 83,000,303.00 is fully paid up.
b. Supplier – ClickMeeting sp. z o. o., ul. Arkońska 6, A4, 80-387 Gdańsk, Tax Identification Number (NIP): PL5842747535, National Court Register (KRS): 0000604194
c. Conference – An event organized by Asseco Poland using the Website to which the Participant has been invited.
d. Organizer – Asseco Poland S.A.
e. Partner – External companies supporting the organization of the Conference. They have the right to distribute advertising materials to Participants and present them both during the Conference and in related communications. They have the right to process personal data for the purpose and to the extent required to fulfill their role in the Conference.
f. Regulations – These Conference regulations.
g. GDPR – Regulation (EU) 2016/679 of the European Parliament and of the Council of 27 April 2016 on the protection of natural persons with regard to the processing of personal data and on the free movement of such data, and repealing Directive 95/46/EC. Official Journal of the European Union, L. 119/1, 2016.
h. Registration System/Website (hereinafter referred to as the System) – a web application made available by the Provider at www.clickmeeting.com/pl, enabling the registration process for participants in the Provider’s Conference.
i. Participant – Any person using the System to register for the Conference. An invited guest, a natural person over 18 years of age with full legal capacity, a legal person, and organizational units without legal personality but capable of acquiring rights and incurring obligations in their own name, who have properly registered for the Conference using the System on the day of the event.
j. Speaker – A Participant with the right to transmit audio and video via a microphone and share the image from their camera or computer; actively participating in the conference.
2. Additional Information.
a. Participation in the Conference will be possible exclusively via electronic means of communication. The official conference management system can be found at:

b. The Conference will be conducted via electronic means of communication, including in particular:
– real-time broadcast of the Conference;
– real-time two-way communication, in which Participants can ask questions via a moderated chat;
– sending conference-related materials by the Organizer and the Partner via email to participants;
– publishing a link to general information online;
– the ability to publish the conference and conference reports on social media.
c. The Organizer will process, in particular collect and store, Participant data related to registration and participation in the Conference via the Registration System, such as: first name, last name, employer name and address, email address, and, in the case of the Speaker, additional data such as: academic title, position, voice, image, and other data provided by the Speaker. d. Conference Participants consent to the use of the collected data referred to above during the Conference by both the Organizer and the Partner, in particular, sharing their name and surname with other Participants during the moderated chat.
e. Both the Organizer and the Partner may send Participants answers to their questions via electronic communication during the Conference and after its conclusion for a period required by the Conference’s purpose.
f. The technical requirements for using the Registration System are the same as those for using the Internet. The User must have a computer with Internet access and software enabling browsing. It is recommended to use a browser, Google Chrome, or Firefox, to ensure smooth reception of the broadcast. The website uses cookies. Privacy Policy Link:

g. The Conference will be conducted online and may be made available to third parties, distributed via social media, press articles, and advertising materials for the Organizer’s marketing purposes.
h. The provisions of these Regulations constitute an integral part of the Conference registration and apply to all Participants.

§2. Conditions of Participation

1. Participation in the Conference is conditional upon registration exclusively via the registration form, the link to which was sent to the Participant via email.
2. The Organizer reserves the right to change the speakers or program for reasons beyond its control.
3. The number of places at the Conference is limited.
4. The invitation is valid for one person.
5. Participation in the Conference is determined by first-come, first-served login.
6. Participation in the Conference is free of charge.
7. The Organizer reserves the right to reject a registered participant due to a lack of places or if the registration was entered into the System after the registration deadline, i.e., August 28, 2026, after 12:00.

§3. Personal Data

1. The Organizer is the controller of Participants’ personal data. 2. Detailed information on how the Organizer processes Participants’ personal data can be found in the Information Clause for Participants attached to the Rules and Regulations.

§ 4. Intellectual Property Rights

1. The Speaker and Partner declare that:
a. They hold intellectual property rights, including the right to share the content presented during the Conference (hereinafter referred to as the Materials).
b. The Materials do not infringe anyone’s rights and are not contrary to law or good practice.
c. They permit the Organizer to record and further distribute the Materials at the Organizer’s discretion – in particular by providing audio, video, and photo files free of charge.
d. They agree not to disclose information about Participants unless the Organizer permits it.
2. Any different arrangements regarding the scope covered by the above paragraph must be agreed with the Organizer in writing, in a separate agreement.
3. The above provisions also apply to the recording and distribution of images.

§ 5. Final Provisions

1. The Organizer reserves the right to use the email address provided during Conference registration to notify Conference Participants, including sending Conference materials, about changes to the Conference program, or these Rules and Regulations.
2. Conference Participants confirm in the System that they have read the Rules and Regulations and agree to abide by them.
3. During the Conference, Participants are obligated to comply with any procedural instructions from the Organizer.
4. Participants acknowledge that if the Organizer determines that a Participant is violating the provisions of the Conference Rules and Regulations, the Organizer reserves the right to refuse the Participant the right to participate in the Conference and to require the Participant to leave the Conference venue, or to block their access to the system, thereby limiting their ability to participate in the Conference.
5. The Organizer reserves the right to amend these Rules and Regulations. After the Organizer announces changes to the Regulations, each Participant who has registered for the Conference should immediately review the changes sent to the email address provided during registration. If the Participant does not accept the changes to the Regulations, they should notify the Organizer of this decision in writing via electronic means at e-konferencje@asseco.pl. This statement should reach the Organizer no later than 5 days after the amended Regulations come into effect. If the Organizer does not receive the Participant’s statement of non-acceptance of the changes to the Regulations within the above deadline, it will be assumed that the Participant has accepted the amended Regulations. Information regarding the Regulations can be obtained via electronic means at: e-konferencje@asseco.pl.
6. These Regulations enter into force on October 20, 2025.

Data Controller and Contact Details, Data Protection Officer:
The data controller of your personal data is: Asseco Poland S.A. with its registered office in Rzeszów, ul. Olchowa 14, 35-322 Rzeszów (data controller). Purposes and legal basis of processing:
Personal data will be processed for the following purposes:
1. organizing and conducting the event in which you participate – pursuant to Article 6(1)(b) of the GDPR;
2. issuing participation certificates and providing access to materials on a dedicated platform, in cases where the event so provides – pursuant to Article 6(1)(b) of the GDPR;
3. making necessary payments and fulfilling other legal obligations related to participation in the event, provided that participation in the event involves making such payments – pursuant to Article 6(1)(c) of the GDPR.

Data recipients:
We may transfer your data to the following recipients: accommodation providers and entities processing personal data on behalf of the controller to support the organization of the conference and its ongoing business activities (subcontractors, suppliers, including external system providers). Such entities process personal data under an agreement with the controller and only in accordance with the controller’s instructions.

Transfer outside the European Economic Area (EEA):
Due to the IT infrastructure and ICT services used by the Controller, personal data may be transferred outside the European Economic Area (EEA). Your data may be transferred outside the EEA based on a mechanism legalizing such transfer (standard contractual clauses or a decision of the European Commission regarding the adequacy of personal data protection – EU-U.S. Data Privacy Framework).

Data Retention Period:
Your data will be stored for the period necessary to implement and settle the event, and then for the period required by law for settlement of the event. If the event regulations require the issuance of certificates and access to materials on a dedicated platform, the data will also be stored for the period necessary to achieve these purposes, but no longer than 10 years.

Rights in connection with processing:
You have the following rights in connection with processing:
1. the right to access and rectify your personal data;
2. the right to erase your data, under the conditions set out in Article 17 of the GDPR;
3. the right to restrict processing, under the conditions provided for in Article 18 of the GDPR.

If you have any doubts as to the compliance of the processing of your personal data with legal requirements, you have the right to lodge a complaint with the President of the Personal Data Protection Office.

Information about the requirement to provide data:
Providing data is voluntary but necessary to participate in the event.

Information about automated decision-making and profiling:
We hereby inform you that we do not make any decisions that significantly affect you by automated means, including those based on profiling.
